Project Terms & Payments
How a project is agreed, paid for, revised and handed over, in plain English.The written proposal for your project is the final word; this page explains how it works.

The short version
- Work starts only after you approve a written proposal with the scope, price, timeline and payment schedule.
- Payments follow milestones such as starting the project, design approval and launch.
- Published prices are starting ranges, not quotes. Extra work is quoted and approved in writing first.
- Each package includes revision rounds, and more can be added. Ongoing support is optional.
How a project is agreed
Every project follows the same path from your first message to the start of work:
- Conversation
- You tell us about the business, the goal and what you have in mind. The project form is a good place to start.
- Scope
- We turn that into defined requirements: pages, features, integrations, and anything still to be decided.
- Estimate
- Each piece of work is estimated on its own, so the total is built from parts you can see.
- Proposal
- You receive a written quote and plan to review. Questions and adjustments are part of the conversation.
- Approval
- Work starts only after you approve the proposal.
Sending an inquiry doesn't commit you to anything. If anything on this page differs from your proposal, the proposal applies.
What your proposal sets out
Before any work starts, you receive a written proposal for your project. It states:
- Scope
- What will be designed and built, in plain language.
- Deliverables
- The pages, screens, software or files you receive.
- Price
- The total, itemised by deliverable, including any add-ons you choose.
- Payment schedule
- When each payment is due and which milestone it belongs to.
- Timeline
- The phases and milestones from kickoff to launch.
- Revision rounds
- How many rounds are included, and when they happen.
- Out of scope
- What the price does not cover, and the assumptions it is based on.
Payments
Your payment schedule is set out in your proposal, so you know what is due and when before any work starts. Payments are tied to project milestones, such as starting the project, design approval and launch.
- Amounts and due dates
- Written in your proposal, and repeated on each invoice.
- Published prices
- The prices on our Pricing page are suggested starting ranges, not quotes. Your price is the one in your approved proposal.
- Work beyond scope
- Quoted and approved by you in writing before it is done. Nothing extra is added without that approval.
Revisions
A revision round is one consolidated set of feedback on a delivered stage, which we then apply. Collecting comments into a single round keeps changes clear and the schedule predictable. Each package includes:

- 4 revision rounds
- Custom Software / Desktop Tools
- 2 rounds per milestone
- Advanced Software Development
- Review and revisions at each milestone
- UI/UX Design
- 2 revision rounds
Changes to what has been delivered are revisions. New pages, features or integrations are new scope, and are quoted before they are added. Extra revision rounds can be added, up front or during the project. The rounds for your project are confirmed in your proposal.
Timelines and your part
Your proposal includes a timeline with phases and milestones. Keeping to it is shared work: we deliver each stage as planned, and the schedule depends on a few things from you arriving on time.
- Content. Text, images, product details and anything else the project needs from you.
- Feedback. One consolidated set of comments for each review, so the next stage can begin.
- Access. Logins or permissions for the domains, hosting or systems the work connects to.
When these arrive on time, the schedule holds. When they arrive late, the milestones after them move too.
Launch and handover
Before launch, we test the work. We then deploy it and hand over what you need to run the project. What the handover includes is listed in your proposal.
Ongoing support or maintenance is optional and quoted separately, as its own piece of work.
Ownership
Ownership of the deliverables, and any licences that come with them, are set out in your project agreement. If anything there is unclear, ask us before you approve it.
Pausing or cancelling
If a project needs to pause or stop, it is handled as set out in your project agreement. Let us know as early as you can.
